A useful Plan without unnecessary personal data.

What we collect

The free Expedition Planner works without an account or email. If you choose to personalize and save a Plan, we collect the email address used to deliver its private return link, your planning answers, selected vehicle, route inputs and the generated Plan. If you book, buy, subscribe or contact us, we also keep the details needed to provide that service and maintain the customer record.

If a Plan owner asks Breakstate to email a read-only Plan to another person, we collect that recipient email address to deliver and record the requested service message. The sender cannot use sharing to enrol the recipient in marketing.

When you accept versioned terms, we record the accepted version and time so that the agreement attached to your Plan or booking can be identified later.

Website measurement

Vercel Web Analytics and Speed Insights provide cookie-free, aggregate website and performance measurement. With your permission, Google Analytics may also store or read analytics data to help us understand campaign attribution and journeys through the site. Breakstate's first-party event ledger records operational milestones such as a Plan being generated, an Expedition Pass offer being viewed, an account being verified, a booking opening or a payment completing; analytics events are designed not to contain names, email addresses, routes or Plan contents.

Customer records and email

Brevo is used for customer records, communication preferences, booking workflows and optional marketing. Resend and Supabase are used for transactional messages and account access, including one-time sign-in links, private Plan links, shared Plan delivery and receipts. Operational email needed to provide something you requested is separate from marketing. Creating an account does not enrol you in marketing, and every marketing message must provide an unsubscribe route. You can review your choices from the Preferences link in the site footer.

Bookings and payments

Booking details may be processed through Brevo Meetings. Stripe processes card payments, refunds and payment disputes. Breakstate stores order and payment status, amounts and provider references for service and accounting, but does not receive or store full card numbers.

Who handles data and where

Aaron Hudson trading as Breakstate, ABN 63 596 998 005, Australia, controls the personal information described here. Service providers may process information in Australia, the United States, the European Union or other locations where they operate. Those providers include Vercel, Sanity, Supabase, Google, Brevo, Resend, Stripe and recording or transcription services used for a Review. Privacy protections and government-access rules can differ between countries.

Recorded Expedition Design Reviews

Expedition Design Review video calls are recorded and transcribed. Recording is required because Breakstate uses the conversation to prepare and quality-check the customer's Expedition Readiness Report; the Review cannot proceed unless every participant consents.

The recording and transcript will not be used for marketing and will not be published. Breakstate asks the customer by email to accept the completed Report. The audio recording is scheduled for deletion 30 days after that acceptance. The transcript, final Report and related working notes may be retained as restricted business records for legal, operational and quality purposes.

Access is limited to people and service providers involved in administering the Review, preparing the Report, maintaining the records or meeting legal obligations.

How long a saved Plan lasts

A private Plan is initially retained for seven days. Once trip dates are saved, it remains available for at least seven days from the latest save and until seven days after the planned finish date, whichever is later. Expired Plan records are deleted automatically.

Maps, places and weather

Breakstate uses Google Maps Platform to resolve locations, build routes, identify operational stops and provide weather data. Google may process requests under the Google Privacy Policy. Breakstate stores Google Place IDs with the Plan. Current place details such as phone numbers, websites and opening hours are requested again when the Plan is viewed or exported rather than treated as permanent records.

What we deliberately avoid

The Planner can record the name a Plan is prepared for, but does not ask for Overwatch contact details or personal phone numbers. A daily check-in message is created for you to copy to a person you choose; Breakstate does not receive that recipient's details.

Your choices

You can reject optional analytics, change communication preferences, unsubscribe from marketing and request deletion. Some transaction records may need to be retained where required for tax, accounting, dispute or legal purposes.

Access, correction and complaints

You may ask to access or correct personal information, withdraw optional consent, object to or restrict some processing where applicable, request account or Plan deletion, or complain about how information is handled. We may need to verify your identity. Some records must be retained for legal, accounting, fraud-prevention or dispute purposes.
